Create a staff account

Running a shop solo doesn’t scale — at some point you need a cashier at the counter. This guide shows how to create a staff account so your cashier can log in and start selling. BANA doesn’t send email invitations yet — you set the password yourself, then tell your staff what it is. They change it after their first login.
Before you start
- You’ve completed the account setup and are logged in to the admin dashboard as the owner
- You know who you’re adding — their name, email, phone, and what role they need (Cashier, Manager, etc.)
- Pick a temporary password you’ll share with them. They’ll change it after logging in
Navigate to employees
Step 1: Open the employee list
From the dashboard sidebar, expand Merchant / Employee and click Employee. The list shows every staff account you’ve created for this organization. If you just finished setup, only your owner account is listed — or the list is empty if the owner account sits at the organizer level.
Step 2: Click Create
Click the Create button in the top-right corner to open the employee creation form.
Create the account
Minh hires Hùng as a cashier at Cà Phê Sài Gòn. He creates Hùng’s account with basic details, then gives him the Cashier role and access to the shop.
Step 3: Fill in personal details
Enter Hùng’s information at the top of the form:
- First Name —

Phạm - Username —
hung.pham(or any unique handle — this is what Hùng types at login alongside his password) - Email —
[email protected] - Phone — Hùng’s mobile (Minh enters
0901234567). You can add a second number later by clicking Add in the Phone field - Password — a temporary password you’ll share with Hùng. Tell him to change it after he logs in; the eye icon lets you briefly view what you typed to double-check
- Status — leave on Activated so Hùng can log in immediately
Step 4: Assign role and shops
Scroll down to the assignment fields and pick where Hùng works and what he can do:
- Merchants — pick every shop Hùng should access. Minh picks
Cà Phê Sài Gòn. You can pick more than one for staff who work across locations - Role — pick one or more roles. For a cashier who only runs the POS, pick
Cashier. For a shift lead who also handles inventory, addManagertoo
Click Save. BANA creates Hùng’s account and opens his profile page.

Your team now has a cashier account:

After Save, BANA opens Hùng’s profile page and his row appears on the employee list (Merchant / Employee > Employee). Share his username and the temporary password with him — once he logs in, remind him to change the password from his profile menu.
What’s next
- Hand off the credentials — tell Hùng his username and the temporary password (in person or on your secure channel; don’t send the password in plain email or chat logs you don’t control). Ask him to change it after first login.
- Add more staff — repeat Steps 2–4 for each teammate. Assign different roles as needed (Manager for shift leads, Administrator for back-office users).
- Start selling at the POS — with your cashier set up, open the POS and process your first sale.
Frequently asked questions
Not yet. You create the account with a password you choose, then share the email address and password with your staff directly (in person, or via your own secure channel). They use those credentials to log in on the web admin or the POS. Email-based invite tokens are on the roadmap — this article will update when they ship.
Yes. Once the staff member logs in, they can update their password under their profile. It's a good practice to change the initial password you assigned so only they know it.
Default roles include Owner, Administrator, Manager, and Cashier. For someone running the POS and handling sales, pick Cashier — it grants POS and sales access without admin settings. Pick Manager for shift leads who also need inventory and light admin access. You can assign more than one role if needed.
Yes. The Merchants field is multi-select — pick every shop the staff should access. They'll see a shop switcher after login. For single-shop businesses, just pick your one shop.
Open the employee from the list and change Status to Deactivated. They can no longer log in, but their historical POS sessions and sale records are preserved. Don't delete the account outright — it would break the audit trail on past orders.
