Record income and expenses
Use the Finance app to log money out and money in — like the monthly rent — so your books match your cash.
For a year, Minh tracked rent and supply costs in a paper notebook. The Finance app replaces it: every payment out and every bit of money in lives in one place, the moment you log it. This guide walks through recording Cà Phê Sài Gòn’s monthly rent.
Before you start
- You’re signed in to the dashboard at client.prods1.bana.com.vn as the owner.
- You’ve set up a finance account to pay from and an expense category like Rent to file it under.
- Sales you ring up on the POS already appear in your revenue report — use Finance for everything else: rent, supplies, and income that didn’t come through the till.
Record a payment
Open the Finance app
Open Finance from the dashboard, then Vouchers — your money log, where every payment out and receipt in is one entry. The list starts empty. Select Create.
Record the payment
Choose Payment (money out) and write a short Reason, like Rent — June 2026. Set Party Type to External and type who you paid — your landlord — as the Party Name. In the transaction line, set the Finance Account to Default Cash Account, pick the Rent category, and enter the Amount: 15,000,000.
Tip: Money coming in works exactly the same way — choose Receipt instead of Payment.
Review it in the ledger
Select Save & Issue. The voucher gets a number and a status of Issued, then drops into the Vouchers list, where the month’s totals update straight away.
What you recorded
| Field | Value |
|---|---|
| Type | Payment (money out) |
| Reason | Rent — June 2026 |
| Paid to | Landlord (External party) |
| Account | Default Cash Account |
| Category | Rent |
| Amount | 15,000,000₫ |
Your Vouchers list now holds one Payment, and the month’s total reflects the money out.
What’s next
- See the bigger picture in your revenue report.
- Log each cost as it happens, so month-end needs no catching up.
You’re all set — your books now match your cash drawer.
Frequently asked questions
Do I need to record my sales here too?
No. Sales you ring up on the POS already flow into your revenue report. Use Finance for everything else — rent, supplies, utilities, and any income that didn't come through the till.
What is the difference between a Payment and a Receipt?
A Payment is money going out, like rent. A Receipt is money coming in. You pick one when you create the voucher; every other step is the same.
Why do I have to choose a category?
Categories group your entries so the totals mean something — all your rent under one category, all your supply costs under another. A manual voucher needs a category on every line.
